4. How we collect it: forms and cookies

We collect information through the contact form on the site, appointment booking (email), through a third party and cookies.

Essential cookies. They make the site work. They are always active.

Non-essential cookies (analytics, marketing). They are activated only with your consent, given through the banner shown on your first visit. You can change your mind at any time using the consent settings at the bottom of the page.

5. Who has access to your information

Internally. Only Flwid’s leaders and authorized staff have access to the extent needed for their duties.

Service providers. We use technology service providers to run our business and our website, for example for website hosting, visit analytics, sending emails and newsletters, receiving forms, scheduling appointments and storing documents. These providers have access only to the information needed for their service and are bound by contract to protect it.

Technology partners. As part of a collaboration, we may share information with technology partners. We do so only when it is necessary for that collaboration, under a written confidentiality agreement and, where the law requires it, with your consent.

Hosting outside Quebec. Some of our providers and partners may host or process information outside Quebec, including outside Canada. In that case, we assess the risks before the transfer, as the law requires.

We do not sell your information. We may also disclose it if the law requires it.

6. How long we keep it

We keep your information for as long as needed to fulfil the purposes for which it was collected. Once those purposes have been met, we destroy or anonymize it, unless the law requires us to keep it longer.

7. How we protect it

We apply security measures appropriate to the sensitivity of the information, including multi-factor authentication, device encryption, restricting access to people who need it, regular backups and contracts with our providers.

No method is infallible. In the event of an incident presenting a risk of serious injury, we notify the people concerned and the Commission d’accès à l’information, as the law requires.

8. Your rights

At any time, you may:

  • request access to the information we hold about you;

To exercise these rights, write to privacy@flwid.ca. We acknowledge receipt and reply in writing within 30 days. We may ask you to confirm your identity.

If you believe we have not respected your rights, you may file a complaint with the Commission d’accès à l’information du Québec.

9. Changes to this policy

We update this policy when our practices change significantly (new tool, new form, new purpose). The date of the last update appears at the top of the page.
